Aircall and Apollo integration

Apollo runs your sequences and Aircall runs your phone numbers, and Aircall does not publish an Apollo app. We build the connection so every call lands on the right Apollo contact, outcomes update the sequence, and your reps stop logging calls by hand. It is a one-time setup by our team, not a monthly middleware subscription.

Why Apollo teams keep Aircall for the phone

Apollo has a dialer, but plenty of teams do not use it for everything. The company already has Aircall numbers, an IVR and a support queue; or it needs local numbers in several countries; or the account managers who take inbound calls are not Apollo users at all. So prospecting happens in Apollo and the phone system stays on Aircall.

The problem is the record. Aircall publishes apps for around forty CRMs and Apollo is not one of them, so calls made outside the Apollo dialer never reach the contact. Sequences keep emailing people who already spoke to a rep, and Apollo’s activity reporting only sees half the outreach. Connecting the two puts every call back on the contact and lets the sequence respond to it.

  • Teams whose phone system predates ApolloAircall keeps the numbers and routing; Apollo still sees every call.
  • Inbound calls from sequenced prospectsA prospect calling back reaches the right number and lands on their own Apollo contact.
  • Mixed teamsAccount managers without an Apollo seat can still have their calls logged against the contact.

Where Aircall and Apollo.io setups usually go wrong

Calls made outside the Apollo dialer

This is the whole point: a call placed from the Aircall app, a desk phone or a mobile still lands on the Apollo contact, not just the ones dialed inside Apollo.

Sequences that keep sending

Someone who has just spoken to a rep should not get the next step of a sequence. Outcomes that mean stop, stop it, and we test that before go-live.

Contacts under the right account

Apollo organises contacts under accounts. We match the caller to an existing contact and account before creating anything, so the account record does not fragment.

Support lines kept out

Not every Aircall number is a sales line. We agree which numbers and teams write into Apollo, so the support queue does not appear in prospecting reports.

How we set it up

  1. 1

    Agree what connects

Which Aircall numbers and teams connect, which outcomes stop a sequence, and what each disposition changes in Apollo. You get a written scope with a fixed one-time price.

  2. 2

    Access for the setup

Admin in Aircall — Owner rights stay with you — and an Apollo user with a permission profile covering the work. Nothing for your team to install.

  3. 3

    We connect and test

We make and miss test calls on each number and check every contact, account, disposition, task and stopped sequence in Apollo.

  4. 4

    Handover

A short document of what is connected. It runs in your own accounts, with no monthly fee from us.

Questions about Aircall and Apollo.io

Does Aircall have an Apollo.io integration?

Not in its own app directory. Aircall publishes apps for around forty CRMs — HubSpot, Salesforce, Pipedrive, Zoho and others — but not Apollo, so the connection has to be built.

Apollo has its own dialer. Why connect Aircall?

Because not every call goes through Apollo. Teams keep Aircall for inbound, IVR, support and local numbers, and those calls would otherwise never reach the contact.

Will an Aircall call stop an Apollo sequence?

When the outcome says it should. A booked meeting or a clear no stops the sequence for that contact; a no answer leaves it running.

Is there a monthly fee?

No. You pay once for the setup. Unlike Zapier, Make and similar middleware subscriptions, there is no monthly or per-task charge from us. Your Apollo and Aircall plans are unchanged.
