The short version
- Pipedrive is built around the deal pipeline. It suits a small team that mostly needs to move deals forward and not lose track of follow-ups.
- HubSpot is a wider platform: CRM plus marketing, service and reporting. It suits a team that wants marketing and sales on one system.
- Both have limits that change by plan. Check them against how you work before you choose, not after.
HubSpot and Pipedrive come up in almost every conversation we have with small sales teams choosing a CRM. Both are good. They are good at different things, and the plan you pick matters as much as the product. This is a practical comparison, based on each vendor’s own documentation, of the things that tend to decide it.
The difference in one paragraph
Pipedrive starts from the pipeline: deals in stages, each with a next activity, and a clear view of what is stuck. HubSpot starts from the contact record and builds outward into marketing emails, forms, service tickets and reporting, all on the same database. If your problem is “we lose track of deals”, Pipedrive’s focus is a strength. If your problem is “marketing and sales use different systems and nobody agrees on the numbers”, HubSpot’s breadth is the point.
Limits that matter, side by side
| HubSpot | Pipedrive | |
|---|---|---|
| Deal pipelines | Up to 2 on Smart CRM Starter, 15 on Professional, 100 on Enterprise | Pipelines with stages; “rotting” can be switched on per stage |
| Custom fields | 1,000 custom properties per object on Starter, Professional and Enterprise | 30 on Lite, 100 on Growth, 300 on Premium, 500 on Ultimate |
| Automation | Workflows; a record enrolls only the first time unless re-enrollment is switched on | Up to 50 active automations on Growth, 150 on Premium, 250 on Ultimate, none on Lite; each path up to 10 actions |
| Duplicates | Contacts matched by email, companies by domain; review tool on Professional and Enterprise | Merge Duplicates tool matching on name plus phone, email or organization |
| Reports | Dashboards vary by hub and tier | 15 reports per user on Lite, 50 on Growth, 250 on Premium, 500 on Ultimate |
Where Pipedrive is the better fit
- Your team lives in the pipeline. Pipedrive’s rotting feature turns a deal red when it has not been updated for the number of days you set for that stage. It is a simple, visible nudge that works well for small teams.
- You want little to configure. A small team can run Pipedrive well with a handful of stages and a few automations.
- Your marketing lives elsewhere, or there is not much of it yet.
Watch for: automations are not included on the Lite plan, and custom field limits are low on the lower plans. Teams that start on Lite and later want automations or many custom fields need to plan for the move up.
Where HubSpot is the better fit
- Marketing and sales should share one database: forms, emails, lifecycle stages and deals in one place, with reports both teams read.
- You expect to grow into more pipelines, service tickets or more complex automation.
- You want contact de-duplication by email working out of the box on form submissions.
Watch for: HubSpot’s default Lifecycle stage only moves forward through imports, forms, the API and workflows. Moving a record back means clearing the property first. And workflows do not re-enroll records unless you switch it on, which surprises many teams the first time a contact “skips” a workflow.
Questions to answer before you choose
- How many pipelines do you really need? Count your sales processes, not your products. HubSpot’s lower tiers cap the number of pipelines.
- How much automation do you need on day one? If the answer is “some”, rule out plans that have none.
- Who else will use it? If marketing or support will work in the same system, weigh HubSpot’s breadth more heavily.
- What has to connect? List your website forms, dialer and other tools, and check each connects to the CRM you are leaning towards.
- Who will look after it? Either CRM drifts into a mess without someone owning the fields, stages and automations.
